Dear Friends and Supporters,
On behalf of the Possibilities Unlimited International Board of Directors, our Team Members, Coaching, Staff and Families it is indeed a pleasure to welcome you as a Booster Club Member. Your decision to join us in our vision and mission to facilitate people with special challenges through the study and application of our unique and inspirational martial arts program is most welcomed and appreciated.
This document is our first attempt to formalize and regulate the planning, operations, fundraising functions and funds distributions of the PUI Booster Club. I would like to recognize the efforts of two PUI staff members that have devoted many years of unselfish dedication to our dream, and countless hours on drafting and developing this document. Tricia Kennedy a Board Member and my Executive Administrative Assistant, and Angela Kianpour, Board Member and Booster Club Chairperson are indeed two of the critical elements in our continued success. They also serve as exemplary role models of Volunteerism in its purist form. It has been a pleasure to have had the honor of working closely with both of these exceptional women during PUI’s formative years. On behalf of all who will benefit from their kindness and benevolence…I thank them!
As with all developing corporations these regulations will serve as a living document that will change along with the needs of our expanding non-profit corporation. An annual review of these and other regulatory controls will be accomplished to ensure that the needs of our organization are being served by its Board of Directors, Coaching and Staff members and its Booster Club.

1. WHAT CONSTITUTES PARENT, ADULT OR SUPPORT MEMBERSHIP
Parent membership is defined as a mother, father, or legal guardian of a child or adult team member with either a physical, developmental or emotional challenge.
Adult membership is defined as any adult that is either physically, emotionally or developmentally challenged, and can legally sign him or herself up for membership.
Support membership is defined as a non-family membership.
Extended family membership.
2. PUI BOOSTER CLUB MEMBERSHIP FEES
Annual Membership Fee of $35
Membership fee applies to, Competitors, Parents, coaches, support and extended family members.
Membership dues will be due on July 1 of each year.
Membership period will be from July 1 to June 30.
Membership fees will be equally divided between the Booster Club and PUI administration.
3. WHAT CONSTITUTES A PUI TEAM MEMBERSHIP
Any child that is physically, developmentally or emotionally challenged.
Any adult that is physically, developmentally or emotionally challenged.
Must wait the appropriate observational period of 1 month
Training responsibilities:
- Must train in routine martial arts classes at least once a week.
- Must participate in specialized classes for competition 50% of the times designated.
- Must participate in specialized classes for demonstration performances at least 50% of the times designated.
- Must participate in at least 3 local/regional competitions, and or demonstrations.
National travel and participation is optional and based on time and the availability of funds.
4. WHAT CONSTITUTES A PUI TEAM COACH
Any person designated by Kyoshi Marquez and having any of the following qualifications:
- Martial Arts background
- Minimum 18 years old (special allowances can be made for younger coaches)
- Adapted Physical Education Degree
- PUI Coaches Training Program
Teaching/coaching responsibilities
- Must be available to help instruct team members in routine classes (once a week)
- Must be available to help instruct team members in specialized classes for competition participation. (50% of times designated)
- Must be available to help instruct team members in specialized demonstration classes. (50% of the time designated)
- Must participate in at least 3 local/regional competitions, and or demonstrations.National travel and participation is optional and based on time and the availability of funds
5. WHO SHARES IN THE FUNDS COLLECTED
Competitors
Parents
Coaches – (Number to be determined by necessity of event)
A percentage (15%) of each fundraiser must be designated to support PUI Administration.
Booster Club funds for Booster Club functions.
6. WHAT CONSTITUTES A FUNDRAISER
Any group or individual activity that is sanctioned and operated by the
PUI Booster Club.
Any group or individual activity that is sanctioned and operated by the
PUI Board of Directors.
Any group or individual activity that is sanctioned and operated by the PUI Coaches.
PUI Board of Directors or CEO must approve all sanctioned fundraisers.
All funds collected will be designated as either:
- Designated funds to the team as a whole
- Designated funds to a particular team or coach member
- Designated funds to an activity or purchase of an item.
- Designated funds to PUI Administration. (unrestricted funds)
7. HOW ARE THE FUNDS DISTRIBUTED
Out of state (Nationals) team travel and competition
- Airfare – Competitors – percentage of flight or full fare if possible
- Airfare – One Parent - percentage of flight or full fare if possible
- Coaches - percentage of flight or full fare if possible
- Hotel – Ceiling of $300 or 3nights / room accommodations may be adjusted by necessity. Doubling up of adult team members and coaches when appropriate.
- Local transportation of PUI delegation.
- National competition fees – percentage of total fee or for 1 event
- Meals – $10 per day to each team member & coach. $10 per day for one parent if funds are available.

- Local competition fees – Scholarships may be available for 1 division entry fee.
8. BASIS OF ALLOCATION OF FUNDS
The basic philosophy of all allocations of funds will be fair and equitable distribution to all eligible recipients. This distribution of funds will be based on the following criteria, but not be limited to these basic guidelines. The Booster Club may designate additional requirements, but all additional requirements must be approved by PUI Board or CEO.
Parent and/or competitors participation in 70% of all fundraisers.
Competitor’s participation in 70% of all fundraisers.
Booster Club meetings attended (70%) by parents.
Competitors attending group and individual work-outs
Overall support of PUI activities/events.
Team members signing up for the event/trip (must meet posted trip deadlines to qualify)
Participation in local competitions – minimum 3 local tournaments
Coach participation in all of the above.
9. WHO MAKES THE DECISION ON THE ALLOCATION OF FUNDS:
Expenditures recommended by PUI Booster Club and PUI Board or CEO
Approved by PUI Board or CEO
Booster Club may self-approve up to a maximum of $500 for start-up event expenditures.
10. ACCOUNTING SYSTEM:
THE FOLLOWING ACCOUNTING SYSTEM WILL BE USED IN THE COLLECTION, STORING, REPORTING AND DEPOSITING OF ALL FUNDS COLLECTED.
Authorized persons involved in the handling of all fundraising funds:
A three-person committee will verify all fundraising funds at the end of the activity.
- Booster Club Chairperson or Representative
- PUI Treasurer or PUI Board Representative
- CEO or designated individual
Verification system for the handling of all fundraising funds:
- Once verification of funds is established a receipt will be given to the Booster Club Chairperson or club representative.
- All collected funds will be given to CEO or PUI Board Representative for depositing.
- All funds will be recorded (make copies of all checks) and deposited within three (3) working days of the activity.
(4) An activity report/status will be presented to the Booster Club and PUI Board at their next regularly scheduled meetings.
MAKE SURE THAT ALL CHECKS ARE:
- Made out to PUI
- Have proper designation in MEMO BLOCK
Example: FOR PUI TEAM OR INDIVIDUAL
- Not post-dated without authorization from: Booster Club representative or PUI Board member.
- In-printed with all personal information on the check.
- All returned checks will be accessed a $15 processing fee.
11 SOLICITATION PROCEDURES:
All PUI solicitation efforts will adhere to local (City), state and federal guidelines regulations on proper solicitation procedures.
Booster Club Chairperson and / or CEO must first approve all local business solicitation for donations.
All major corporate solicitation must be reviewed and approved by CEO.
SMALL (Silver) BUSINESS/PERSONAL DONATIONS:
Up to $1000

14. BOOSTER CLUB FUNDRAISERS:
Must be approved by majority vote
Must be approved by PUI Board or Kyoshi Marquez
Must be assigned to Booster Club sub-committee
PUI Activity Worksheet must be completed (need to develop)
Should have at least three months lead-time
Fundraiser should be accessible to the specially challenged community.
15. PUI BOARD FUNDRAISERS:
Must be approved by majority vote
Must be assigned to sub-committee
PUI Activity Worksheet must be completed
Should have at least three months lead-time
Fundraiser should be accessible to the specially challenged community.
16. NON-PUI AUTHORIZED FUNDRAISERS:
Must be approved by PUI Board / or CEO.
All funds collected must be for PUI use only (operating expenses may be deducted).
PUI must oversee operations and accounting procedures when at all possible.
PUI Board or Booster Club member should be on organizing committee when at all possible.
Fundraiser must meet all PUI Fundraising guidelines and regulations.
Fundraiser must not exploit or in anyway demean the image of the specially challenged community or its members.
Fundraiser should be accessible to the specially challenged community.
17. Booster Club Management Guidelines:
Financial Reports/status must be given to membership during monthly meetings.
Monthly meeting format:
- Last month minutes review/acceptance
- Financial Report
- Old Business
- New Business
Reporting of minutes & new agenda items procedures:
- Minutes will be recorded by PUI Secretary or designated individual
- Minutes will be provided to chairperson no later than 6 days after meeting.
- Minutes will be formally prepared by Booster Club Chairperson or designated individual, and e-mailed/mailed to all Booster Club members for information and review no later than the 3rd week of the month.
- All Booster Club members will submit all proposed “new” agenda items no later then 7 days from the next regularly schedule meeting.
- Chairperson or designated individual will e-mail all proposed “new” agenda items to all Booster Club members for information and review.
- The PUI CEO will administer all duties and responsibilities of the Booster Club Chairperson in their absence.
